Privacy & Terms

Meetings Ai is built to work on your device. There is no account to create, and we do not store your recordings or notes on our servers. A few optional features (described below) send text to trusted service providers only when you choose to turn them on. This page covers both how your information is handled (Privacy Policy) and the terms that apply to using the app (Terms of Use).

Some features use artificial intelligence — generating a summary, translating a note, or chatting with a meeting. When you choose to use one of these features:

If you turn on Email my summary (off by default), the finished summary text and the email address you enter are sent so the summary can be delivered to your inbox. This is the only feature that sends your summary off your device for delivery. It is relayed through our own send function and delivered by Resend, our email provider; neither stores your summaries, and we use this only to send the email you asked for — never for marketing. We send nothing unless you opt in and provide an address.

4. Calendar connection (optional)

If you connect a Google or Microsoft calendar, the app reads your upcoming events so you can record the right meeting at the right time. Access tokens are stored on your device, the app only reads event details it needs to show you, and you can disconnect at any time in Settings or revoke access from your Google or Microsoft account.

5. Device permissions

Permissions are used solely for the action you initiate, and you can change them at any time in your device Settings.

6. Apple Watch

If you record from Apple Watch, that recording is transferred to the app on your iPhone for transcription and summarizing, and is handled the same way as any other recording described above.

7. Purchases

Subscriptions and purchases are processed by Apple through the App Store. Apple handles your payment; we do not receive or store your payment details. Your subscription status is stored on your device.

8. Support communications

If you contact us by email, we receive your email address and the contents of your message so we can respond. We do not use it for marketing.

9. Children

The app is not directed to children under 13, and we do not knowingly collect personal information from children.

10. Data retention and deletion

Your notes remain on your device until you delete them or uninstall the app. Deleted notes sit in Recently Deleted for 30 days — restore them there, remove them permanently, or let them purge automatically. Uninstalling the app removes its data from your device. Because we don't store your notes, there is nothing for us to delete on a server.

11. Security

Data sent to our service providers (our AI provider and, if you opt in, our email provider) travels over encrypted connections. Notes on your device are protected by your device's own security (passcode, Face ID, and the app sandbox). No method of storage or transmission is 100% secure, but we use industry-standard measures appropriate to a device-first app.

12. Recording responsibility

You are responsible for complying with the laws that apply to you when recording other people, including obtaining consent where it is required.

Terms of Use

These Terms of Use ("Terms") are an agreement between you and the developer of Meetings Ai ("the app", "we", "us") governing your use of the app. By downloading or using the app, you agree to these Terms and to Apple's Standard End User License Agreement (the "Standard EULA"). Where these Terms and the Standard EULA conflict, the Standard EULA governs to the extent required by Apple.

We grant you a personal, non-exclusive, non-transferable, revocable license to use the app on any Apple-branded device that you own or control, in accordance with the App Store Terms of Service and the Standard EULA.

You retain all rights to the recordings, transcripts, and notes you create or import. We do not claim ownership of your content, and we are not responsible for it. You are solely responsible for maintaining your own backups.

5. AI features

Some features use artificial intelligence to generate summaries, translations, and chat answers. AI output can be inaccurate or incomplete — always verify important details against the original recording or transcript. Do not rely on AI output as legal, financial, medical, or other professional advice.

6. Disclaimer of warranties

The app is provided "as is" and "as available", without warranties of any kind, whether express or implied, to the fullest extent permitted by law, including any implied warranties of merchantability, fitness for a particular purpose, and non-infringement. We do not warrant that the app will be uninterrupted, error-free, or that results will be accurate.

7. Limitation of liability

To the fullest extent permitted by law, we will not be liable for any indirect, incidental, special, consequential, or punitive damages, or any loss of data, arising from your use of the app. Our total liability for any claim relating to the app is limited to the amount you paid for it in the 12 months before the claim. Nothing in these Terms limits rights that cannot be excluded under applicable consumer law.

8. Apple

These Terms are between you and us, not Apple. Apple is not responsible for the app or its content and has no obligation to provide support or maintenance. In the event of any failure of the app to conform to any applicable warranty, you may notify Apple and Apple may refund the purchase price (if any); to the maximum extent permitted by law, Apple has no other warranty obligation. Apple and its subsidiaries are third-party beneficiaries of these Terms and may enforce them.

9. Changes and termination

We may update these Terms from time to time; the "last updated" date will reflect changes. We may suspend or discontinue the app, in whole or in part, at any time. You may stop using the app at any time.

10. Governing law

These Terms are governed by the laws of Australia, without regard to conflict-of-laws principles, except where your local consumer-protection laws require otherwise.
